- Elections for group-level positions are held at the last business meeting of the calendar year.  The meeting secretary presides during the election.
 
  - The length of service is one year, except for the GSR, which is two years. 
 
  - The term begins the first week of January. 
 
  - You can volunteer yourself for any position or nominate anyone who meets the sobriety requirement.
 
  - Newly elected officers are responsible for their own training.  If you have any questions about the service position, please contact the person currently in the position. 
 
  - Help us get the newly elected officers’ contact information.  A clipboard will be circulated during the election.
 
  - In addition to the responsibilities outlined below, all officers are expected to attend the group business meeting on the second Sunday of the month at 5pm
 
Group Chairperson
Sobriety requirement: 2 years         Length of term: 1 year
  - People who have previously filled other service positions within the group are usually nominated for Group Chair
 
Responsibilities:
  - See to overall welfare of the group through application of the principles expressed in the 12 traditions of AA  
 
  - Maintain cordial relations between the group and the organization from which the meeting room is rented.
 
  - Act as primary liaison between East Village Group and the Church
 
  - Preside at monthly group business meetings, and at others as called by the group
 
  - Open / close group meetings or assign the responsibility to other officers in the absence of a meeting chairperson
 
  - Substitute for other group officers as necessary
 
  - Coordinate activities with other group officers and with those members responsible for literature, hospitality, coffee-making, programming individual meetings, and other vital functions
 
Group Secretary
Sobriety requirement: 2 years         Length of term: 1 year
Responsibilities:
  - Take minutes at business meetings and post them on Google Drive
 
  - Inform GSO and New York Inter-Group in writing of any changes of address, meeting place, times, and officers
 
  - Share all mail from GSO, World Services, The Grapevine, SENY, and New York Inter-Group with group
 
  - Keep strictly confidential group records and a list of officers
 
  - Check the group’s email account and maintain the mailing list
 
  - Serve as back-up liaison between East Village Group and Super (Julio) when group chair is unable
 
  - Limit flyers on the literature table and in announcement books to AA- and recovery-related events
 
  - Count votes during elections
 
  - Preside at business meeting if group chair is absent
 
  - Secure alternate meeting space if 7th Street is unavailable
 
Group Treasurer
Sobriety requirement: 2 years         Length of term: 1 year
Responsibilities:
  - Keep the group’s books 
 
  - Make all payables (write checks) and handle all receivables
 
  - Make donations to GSO, Inter-Group, 3rd Street, et al., as authorized by group conscience
 
  - Present the treasurer’s report at business meetings
 
  - Pay rent 
 
Treasurer’s Assistant
Sobriety requirement: 2 years         Length of term: 1 year
Responsibility:
  - Assist treasurer in collecting envelopes of cash from meeting chairs
 
  - Serve in Treasurer’s place, fulfilling all responsibilities, in the event that the Treasurer is unable
 
  - Pay rent in the event that the Treasurer is unable
 
Intergroup Representative
Sobriety requirement: 1 year         Length of term: 1 year
Responsibilities:
  - Attend quarterly Intergroup meetings
 
  - Bring news from Intergroup to the group
 
  - Represent East Village Group’s group conscience to intergroup
 
  - Ensure that EVG is fulfilling its standing commitment to answer phones at Intergroup every Saturday.
 
Hospitals and Institutions Coordinator
Sobriety requirement: 2 years         Length of term: 1 year
  - Oversee scheduling/training of meeting level representatives elected to bring AA meeting to Beth Israel Hospital
 
  - Coordinate with Beth Israel Hospital as necessary
 
  - Pick up free literature form the Corrections and treatment Facilities Committee to take to Beth Israel
 
Group Literature Coordinator
Sobriety requirement: 1 year          Length of term: 1 year
  - Maintain inventory of literature for all meetings
 
  - Prepare beginners’ packets
 
  - Purchase literature (&coins)  from Inter-Group as needed, with funds from group conscious at business meetings
 
Coins Chair:
Sobriety Requirement: 1 year         Length of Term: 1 year
  - Attend anniversary meeting on the last Saturday of every month (7:00p)  It is helpful to arrive at the meeting early.
 
  - Make a list of celebrant’s names and length of sobriety @ each anniversary meeting.
 
  - Provide anniversary coin to each celebrant.
 
  - Maintain inventory of anniversary coins (90 days to 35 years).  
 
  - Purchase coins – communicate with literature chair for coin purchase.
 
  - Encourage group members to donate their old anniversary coins. 
 
Website Chair:
Sobriety Requirement: 1 year         Length of Term: 1 year
  - Update group website (http://www.eastvillagegroup.com) as needed
 
  - Suggested uses:  Business Meeting dates; Meeting location information; General group information
 
Group Hospitality Coordinator
Sobriety requirement: 1 year         Length of term: 1 year
  - Maintain inventory of coffee, tea, sweeteners, paper goods, etc. based on group needs and storage capacity
 
  - Place orders as necessary and coordinate receipts with treasurer
 
General Service Representative (1) and alternate (1) 
Sobriety requirement: 1 year         Length of term: 2 years
Responsibilities:
  - Attend General Service Organization meetings and area conferences
 
  - Bring news from and group consciences of GSO back to the group
 
  - Represent East Village Group’s group conscience to GSO
